These Terms of Use govern the relationship between MenuRobo and the businesses and users of the MenuRobo platform ("Platform"). By creating an account or using the Platform you are deemed to accept these terms.
1. Scope of the service
MenuRobo provides cloud-based QR menu, table and room ordering, order tracking, waiter approval and waiter call, reservations, kitchen, cashier and order screens, bills and receipts, cashier shifts and Z reports, on-account (tab) records, Owner Screen, hotel room service, multi-branch and chain management, the Pastry Production and Order System, a menu assistant (Digi) and reporting services for restaurants, cafés, hotels and pastry shops. Some features depend on the selected plan and add-on modules.
POS device integration and the Restaurant API are optional and disabled by default. Once enabled by MenuRobo they are switched on in the business settings; unless switched on, no order or payment data is sent to a POS device or external software.
2. Account and security
- A business account is created through the registration form; the account and plan become active once the bank transfer payment is confirmed. You are responsible for the accuracy of the information you provide.
- You are responsible for keeping your account password, the links and PIN codes of staff screens and your API keys confidential. Deactivate departing staff in the panel; the open screen of a deactivated staff member is also closed. Renew any screen link you believe has been shared.
- We recommend enabling two-factor authentication (2FA); 2FA is mandatory for pastry shop administrators.
- As the account holder you are responsible for actions taken by the staff and administrators you add to the panel.
3. Plans, add-on modules and payment
- Plan contents, durations and prices are shown on the pricing page. Paid features become active once payment is confirmed.
- Payments are accepted by bank transfer only; the plan becomes active once the payment reaches our account and is confirmed. VAT is added to displayed prices as indicated. Invoices are issued outside the Platform; payment records and order summaries on the Platform are not fiscal documents.
- Number of branches: each plan includes the number of branches stated in the plan (1 branch unless otherwise stated). Headquarters, pastry production kitchens and hotel locations do not count towards this number. More branches are requested from the panel as an Extra Branch; the fee is based on the per-branch price published in the plan or the amount notified by the Platform, and the right is granted once payment is confirmed. An extra branch right is valid until the end date of the plan in force at the time of purchase; if it is not renewed with the plan, new branches cannot be opened, but existing branches and their data are not deleted.
- Add-on modules: modules such as the Cashier Module, Owner Screen, Pastry Production and Order System and Extra Branch may be included in a plan or offered for a separate fee. A separately charged module becomes active once payment is confirmed and is valid for the term of the plan it is attached to.
- When a plan expires and is not renewed, access to paid features may be restricted. Price changes do not affect a paid period and are announced in advance for the next period.
4. Responsibilities of the business
- The business is responsible for the accuracy of product names, prices, contents, allergens, calories and dietary information published in the menu. The menu assistant's answers are based on the menu information and FAQs entered by the business.
- For the personal data of your guests, customers and staff you are the data controller; providing privacy notices and obtaining explicit consent where required is the business's responsibility. MenuRobo's obligations as data processor for this data are set out in the Data Processing Agreement.
- Preparing and delivering orders, collecting bills, accepting or rejecting reservations and the commercial relationship with guests belong to the business; MenuRobo is not a party to that relationship.
- Pastry Production and Order System: accepting a cake order, its price, production, delivery, offering a new delivery time in case of delay, accepting a customer's cancellation request and refunding a deposit are the pastry shop's decision and responsibility. The Platform does not take payment for cake orders; any deposit and payment are taken at the pastry shop's own till / POS device. Allergy information must be used only for preparing the cake; the accuracy of food safety (HACCP) records and compliance with legislation are the pastry shop's responsibility.
- Email: emails to the business's guests and customers are sent from the business's own email (SMTP) account; if SMTP is not configured, these emails are not sent and the related features (e.g. online reservation, pastry email verification) do not work. The business is responsible for the accuracy of the server details and the content of emails sent.
- You must hold the rights to the texts, logos and images you upload; checking that AI-generated product images represent the product accurately is the business's responsibility.
5. Order security settings
- The business enables or disables security settings such as waiter approval, waiter approval for new devices, location check and device blocking according to its needs. With these protections off, someone who obtains the QR code link may be able to place orders; the business is responsible for its choice of settings and the waiter's approve/reject decisions.
- The location check relies on the location reported by the browser and is not always exact; the strongest protection is waiter approval.
- Table QR codes are table-specific and signed; a table session is valid for 30 minutes and, once the bill is closed, the QR must be scanned again for a new order.
6. Cashier, bill closing and POS device integration
- The Cashier Module is optional; when it is off, the waiter closes the table's bill from their own screen.
- Bill, bill closing, shift and Z report records on the Platform are for the business's internal tracking; they do not replace fiscal receipts, e-Archive or e-Invoice. Obligations relating to fiscal documents and cash register devices belong to the business.
- If POS integration is enabled, the amount is sent to the business's own POS / cash register; choosing the correct device settings is the business's responsibility. MenuRobo does not process card details.
7. Restaurant API and notifications
- The API allows the business's own software to receive orders approved by the waiter and to close tables; an API key only accesses the data of the business it belongs to.
- You decide to whom you give your API keys and notification address; the business is responsible for the processing of data by the software provider receiving the key. Exceeding the defined request limits or attempting to access other businesses' data is prohibited.
8. Reservations
- Reservations reach the business after the guest verifies their email; accepting, rejecting and allocating tables are up to the business. Online reservations require the business to set up its own email (SMTP) account.
9. Prohibited use
- Using the Platform to publish unlawful, misleading content or content that infringes third-party rights.
- Attempting to bypass the system's security, access other accounts or create excessive load with automated tools.
- Placing fake orders or orders without being at the business; attempting to bypass location verification, device blocking or email verification; posting fake reviews.
- Copying, reverse engineering, renting or reselling the Platform.
In case of breach of these rules your account may be suspended with prior notice or, in urgent cases, immediately.
10. Service continuity
We take reasonable care to keep the Platform running without interruption. We are not liable for indirect damages arising from interruptions due to maintenance, updates or causes beyond our control (internet infrastructure, service provider failures, POS device or external software outages, force majeure). Data is backed up regularly.
11. Intellectual property
The Platform's software, design, API, the Digi character and the MenuRobo brand belong to MenuRobo. Menu content, logos and images entered by the business belong to the business; we use them only to provide the service.
12. Limitation of liability
MenuRobo's total liability arising from these terms is limited to the plan and add-on module fees paid for the relevant account in the 12 months preceding the event causing the damage. Loss of profit and indirect damages are excluded. This limitation does not apply in cases of intent or gross negligence.
13. Closing the account
You may close your account at any time from the Profile page in the panel. On closing, panel login, your QR menus and your API keys are disabled immediately; after 30 days your account and business data are permanently deleted; your plan payment records are kept for 10 years under tax and commercial legislation and anonymised at the end of that period. Within this period you can have your account reopened by writing to us. We recommend downloading your orders, reservations, on-account, pastry orders and payment records from the same page before closing; deleted data cannot be recovered. Keeping records required for your own tax and commercial bookkeeping obligations is the business's responsibility.
Accounts whose plan has expired and that are not used are deleted in the same way after the email warning described in the Privacy Policy.
14. Changes
These terms may be updated when necessary. Significant changes are announced in the panel before they take effect. Continuing to use the Platform after a change means you accept the current terms.
15. Governing law
These terms are governed by the laws of the Republic of Türkiye. The courts and enforcement offices of the place where MenuRobo's headquarters is located have jurisdiction over disputes.
